Understanding reporting and operations in UserTasks

Reporting covers both business outcomes and platform operations. Saved reports can query tasks, forms, workflows, integrations, notifications, agents, documents, retention, and custom data, then apply fields, filters, groupings, aggregations, and visualizations.

Operational views go deeper than aggregate reports. Workflow runs expose node progress and errors, integration calls expose redacted requests and latency, agent runs expose traces and artifacts, and capacity views expose assignment and workload patterns.

Reports can be shared in the report hub or embedded into application pages alongside the actions that address the measured condition.

When to use this feature

  • Teams need backlog, throughput, SLA, or outcome visibility.
  • Builders need to diagnose failed workflows or external calls.
  • Managers need capacity and assignment insight.
  • A page should combine metrics with remediation actions.

What you can build

  • Operations health dashboards
  • SLA and aging reports
  • Approval outcome analysis
  • Integration reliability reports
  • Agent usage and error reporting
  • Team capacity and workload views

Production design notes

  • Define the business question before selecting fields and visualizations.
  • Use saved reports for reusable analysis and runtime logs for diagnosis.
  • Redact or exclude sensitive fields from broadly shared reports.
  • Link metrics to the page, task, or workflow action users should take next.

Core concepts

Report sources

Use tasks, forms, workflows, integrations, notifications, agents, documents, retention, and custom data.

Saved reports

Configure reusable filters, fields, groupings, visualizations, and page embeddings.

Runtime diagnostics

Workflow runs and integration calls expose status, duration, outputs, failures, and attribution.

Capacity

Analyze workload, assignments, priority, due dates, throughput, and team availability.

Actions and capabilities

What designers and operators can do in this product area.

Reporting and operations actions

The main operations available in Reporting and operations.

Reporting and operations actions

Build saved report

Select a source, fields, filters, sorting, grouping, and display configuration.

Example: Publish an SLA-risk dashboard combining overdue tasks and failed workflow runs.
Configuration inputs
  • Permission to view and edit the relevant reporting and operations assets.
  • The target report source, fields, filters, grouping, visualization, and publication settings.
  • Any required mappings, recipients, filters, variables, permissions, or lifecycle settings shown by the designer.
How to use it
  1. 1.Open Reports from the main navigation.
  2. 2.Create or open the relevant asset and choose “Build saved report”.
  3. 3.Complete the required fields, map dynamic values, and review access to every referenced asset.
  4. 4.Use preview, test, or validation where available; correct errors before publishing or executing.
  5. 5.Run the action and inspect its status, output, history, or audit record.
Expected results
  • Users receive a reusable operational view based on current tenant-scoped data.
  • Failures remain visible with enough context to correct configuration or retry safely.

Reporting and operations actions

Preview and publish

Validate report output and make it available in the report hub or application pages.

  2. 2.Create or open the relevant asset and choose “Preview and publish”.
  3. 3.Complete the required fields, map dynamic values, and review access to every referenced asset.
  4. 4.Use preview, test, or validation where available; correct errors before publishing or executing.
  5. 5.Run the action and inspect its status, output, history, or audit record.
Expected results
  • Users receive a reusable operational view based on current tenant-scoped data.
  • Failures remain visible with enough context to correct configuration or retry safely.

Reporting and operations actions

Inspect workflow runs

Review node status, variables, outputs, errors, retries, and SLA state.

  2. 2.Create or open the relevant asset and choose “Inspect workflow runs”.
  3. 3.Complete the required fields, map dynamic values, and review access to every referenced asset.
  4. 4.Use preview, test, or validation where available; correct errors before publishing or executing.
  5. 5.Run the action and inspect its status, output, history, or audit record.
Expected results
  • Users receive a reusable operational view based on current tenant-scoped data.
  • Failures remain visible with enough context to correct configuration or retry safely.

Reporting and operations actions

Inspect integration calls

Review redacted requests, responses, status, latency, and caller context.

  2. 2.Create or open the relevant asset and choose “Inspect integration calls”.
  3. 3.Complete the required fields, map dynamic values, and review access to every referenced asset.
  4. 4.Use preview, test, or validation where available; correct errors before publishing or executing.
  5. 5.Run the action and inspect its status, output, history, or audit record.
Expected results
  • Users receive a reusable operational view based on current tenant-scoped data.
  • Failures remain visible with enough context to correct configuration or retry safely.

Reporting and operations actions
